Coordinator

Job Description
The Coordinator role will work directly with two talent managers to support the day to day project management of their respective clients, as well as more company-wide logistics and strategy. The person in this role would be responsible for liaising with both of their clients and with buyers. The Coordinator should have the desire to work in a startup environment (we are currently a team of four people). The talent managers are based in New York, but the team has members in both Los Angeles and New York, and is open to candidates in either location.
Day to day project management for our clients includes:
- Maintaining a workflow for active client projects
- Facilitating the production of client projects including:
- Obtaining creative briefs or any other initial directions from buyers to share with clients
- Coordinating logistics of product selections and/or deliveries for clients
- Coordinating with clients for their production schedule and, where necessary, ensuring that clients stay on schedule to deliver projects to buyers on time.
- Coordinating client travel logistics and ground transportation for photoshoots and/or trips with buyers
- Delivering project assets/captions/other deliverables from clients to buyers for their review and approval
- Communicating buyer's approval and/or feedback to clients
- Alerting buyers once client's content has gone live
- Scheduling meetings for clients when necessary
- Inputting and maintaining project information in invoice tracker including obtaining expenses/receipts from clients when relevant
Company wide logistics and strategy includes:
- Producing media kits and/or other project proposal PDFs
- Putting together a monthly research report and presentation to the company on new business opportunities including potential new clients, potential new buyers, etc.
Skills
- Attention to detail and organization.

- Ability to develop processes and systems for logistics and organization
- Ability to coordinate logistics with buyers and clients that live in different time zones.
- Interest in the entertainment, fashion, and/or media industries, and an entrepreneurial spirit
- Familiarity with relevant agencies, companies, and people in the entertainment, fashion, and/or media.
- Outgoing, helpful, and polite disposition.
- Comfortable conducting business by email AND phone.
