JOB SUMMARY
The Executive Assistant will provide support for all administrative needs of the Chief People Officer. In addition, this position will provide calendar support to SVP & VPs within the HR/Talent function. This position requires a high level of discretion and ability to work effectively at the senior levels throughout the organization.
RESPONSIBILITIES
Maintain calendar for the Chief People Officer and her direct reports- prioritizing appointments and proactively resolving scheduling conflicts throughout the day to ensure attendance and punctuality at meetings
Makes travel arrangements including booking flights, hotel accommodations, car services, and manage travel agenda for the Chief People Officer
Enter and track expenses for the Chief People Officer
Proactively manage the needs of the team, prioritizing what is important and urgent
Review and maintain expenses submitted to leader and highlight any out of policy spending , process expense reports and invoices. Code and approve all department invoices.
Responds to phone, email and in-person inquiries – providing general information and directing inquiries to correct source or point of contact
Manage all necessary arrangements for internal and external meeting planning including sending invitations, booking rooms and arranging catering
Organizes special events as required including team off-sites and larger cross-functional team meetings
Work closely with the other assistants to schedule inter – department meetings with executives
Work on special projects which may include presentation creation using Excel and/or PowerPoint and finalization of presentations and other documents
Ad hoc personal requests
EDUCATION & PRIOR EXPERIENCE NEEDED
BA/BS or equivalent work experience
Minimum of 1-2 years relevant work experience
Highly proficient in Microsoft Office
Must have a customer service orientation
Exceptional interpersonal communication and organization skills, strong attention to detail, strong writing skills, problem – solver, demonstrated ability to interact with Senior Management
A high sense of urgency , timeliness and follow-through
